Family Fun Day

Sunday 19 July 2009, 2 – 5pm

 

 

Dear Stallholder,

 

We are currently planning the next Family Fun Day in Canons Park and hope you will be able to join us again as a stallholder.  Our last event was a huge success and we hope to build on this with an equally exciting event in 2009.

 

As there are a limited amount of stalls available, it would be very helpful for me to know as soon as possible if you would like to take part in the event, which will take place on Sunday 19 July 2009, from 2 – 5pm.

 

Could you please fill in and return the form below by the end of January if possible, after which I cannot guarantee to hold space for you.  Please note that due to the rising cost of staging Fun Day and the loss of funding from two local grant-making trusts, we will require all stallholders to contribute 15% of their total takings on the day, with a minimum contribution of £25.00.

 

I enclose a set of stallholders’ guidelines, which are little changed from last year but are still necessary due to health and safety regulations and the need to preserve and protect our newly restored park and its facilities.

Each stallholder will be allocated one table and up to two chairs, for which there is no charge.  However, it would be very helpful if you could bring your own as we only have access to limited numbers of each. If you require an extra table we will do our best to supply one, although this cannot be guaranteed.  We have a limited number of gazebos, which will be supplied without charge on a first come, first served basis. Once again, it would be helpful if you could bring your own.  Please indicate below your requirements.

CANONS PARK FUN DAY REGULATIONS

Sunday, 19 July 2009, 2 – 5pm

 

 

Time:

All tables must be set up and manned from 1.30pm to 5pm

 

Vehicles

Vehicles can only access the site from Donnefield Avenue, off Whitchurch Lane (next to Canons Park tube station)

The entry gates will be open from 9am until 12.30pm for unloading and vehicles must be removed from the site by 1pm, unless owners have received advance permission.

To allow the public to exit safely, the entry gates will not be open until after 5.30pm for loading.

Vehicles can be parked for free in the Canons Park tube station in Donnefield Avenue or in nearby streets.

 

Stalls

Your stall will be allocated to you and a sign will mark your pitch. Shady locations will be allocated for food stallholders wherever possible.

 

Health and Safety

Stallholders must ensure that their stall does not cause any health and safety problems.  Guy ropes must be marked.  Gas cylinders used for balloons or cooking must be properly roped off from the public.  Stalls serving food (other than conserves or honey) must bring with their up to date health and safety certificate.

 

Litter

You will be provided with a bin bag for litter.  Please make sure that you clear away all litter relating to your stall and place it in the bins provided on site by the council. 

 

Power

There are no power points available in the park.  You may provide your own silenced generator.

 

Toilets

There is a permanent disabled toilet available to the public. We hope to provide portaloos this year.

 

Cancellation

Since the number of stallholders and the facilities we provide for them is limited, we would be grateful if you would contact us as soon as possible if you have to cancel your participation.  Please contact Sharon Graham on 020 8952 4676 or 07775 638 336.

 

Personal Property

The organisers of the Fun Afternoon cannot accept any responsibility for loss of damage to any property or equipment owned by stallholders.  Please ensure you have taken adequate steps to safeguard your money and valuables.

 

Insurance

The Friends of Canons Park is covered by public liability insurance. However, stallholders should make sure that all their equipment and belongings are covered by their own insurance policy.
